Difference company & contact person

Contacts are divided into two contact classes: company and contact person. Several contact persons can be assigned to one company, but not the other way around. In addition, contact persons can be created without being assigned to a company.

This fact must be taken into account when designing the import file.

  • Either all companies are imported first in one file and then the associated contact persons are imported in a second file.
  • Or, in a combined import file, all companies have to be listed first and then the associated contact persons, so that SmartProcess can first find and create the company contact from the import file and then assign the contact persons to these created companies.
If a company is to be assigned to a parent company, the parent company must first be created during the import.

Required columns

SmartProcess uses the filled columns in the import file to determine whether it will treat a contact as a company, contact person with company assignment, or contact person without company assignment.

  • To create or edit a company, the columns Contact No., Contact type and Company must be filled.
  • To create or edit a contact person who is assigned to a company, the columns Contact No., Company and Name must be filled.
  • To create or edit a contact person who is not assigned to a company, the columns Contact No., Contact type and Name must be filled.

Identifier for duplicates

In the import mask, the checkbox <Replace Duplicates> can be used to control how SmartProcess should act when it detects duplicates during data import.

For contacts (company), a duplicate is detected if there is already a contact (company) in the system with identical content in the Contact No. field.
