In addition, each import should first be tested with a small number of data records!
This article describes the specifics and points of attention for importing users.

Identifier for duplicates

In the import mask, the <Replace duplicates> checkbox can be used to control how SmartProcess should act when it detects duplicates during the data import.

For users, a duplicate is detected if there is already a user in the system with identical content in the Username field.

Update user details by import

Use the <Replace Duplicates> function above to change or update a user's details by importing them. By using this procedure, you can, for example, change the assignment to an organizational unit in the organization chart.
Import only the data of a user you want to change to avoid unwanted changes to other details. When you update data, not all mandatory fields need to be imported.

Required columns

User with login possibility

In order to create a local user via import, who can subsequently log in to SmartProcess, at least the following columns are required in the import file:

  • Username
  • Last Name
  • Email
  • Product license
  • Authorization profile
  • Organizational unit (Main unit) *
  • User without login possibility (with the value 'No')
  • Send access data to new user (only when creating new users with the value 'Yes')
* The Organizational unit (Main unit) to be entered must exist in the organization chart and the name should be unique. If no unique names are used for organizational units in the organization chart, the entire path to the object should be entered (e.g. Management / QM)

User without login possibility

It is possible to create users without login possibility in SmartProcess (e. g. to create qualification profiles for users who should not work actively in SmartProcess).

To create users without login possibility via import, at least the following columns are required in the import file:

  • Last Name
  • User without login possibility (with the value 'Yes')

User import with AD connection

If SmartProcess has been connected to an Active Directory, the prerequisite for a manual import is that the users are not automatically imported from the Active Directory.

If this prerequisite is met, at least the following columns are required in the import file to create a user with connection to Active Directory:

  • Username (Must match the user name in Active Directory for successful synchronization)
  • Product license
  • Authorization profile
  • Maingroup *
