General notes on use

By using catalog fields, fields that are configured as columns in a catalog can be inserted into the form.

The catalogs are created and configured centrally in the Settings and can then be maintained via the "Catalogs" menu.

The names of the fields can be subsequently renamed in the field properties if you do not want them to be named as the column is defined in the catalog.

The data source of the field indicates the link to the stored catalog.

The field inserted first will later function as a search field in the case and is displayed with a magnifying glass. By clicking on the magnifying glass, the catalogue opens and an entry can be selected.

When you select an entry, all catalog fields in the form are filled in, provided a value is stored in the catalog.

Creating activities based on catalog entries

Catalog fields have a setting option, with the help of which the selection of catalog entries in the case can be used to directly create new activities or entries in field groups. For this purpose, the checkbox Create new activity from the catalog must be set in the field properties (if there are several catalog fields of the same catalog in the relevant form, it is sufficient to change the setting once).

Users then have two options for creating entries in activity lists and field groups:

  • Creating individual entries via + Single entry
  • Creating one or more entries based on catalog data via the + New from catalog button

Only allow creation via catalog

If the Create new activity from catalog setting is enabled, the Only allow creation via catalog checkbox can be used additionally.

If this option is enabled, the creation of activities and field group entries as individual entries is prevented. Users can then only create these entries by selecting predefined catalog data.
