This feature allows you to access and edit Office documents from SmartProcess in the appropriate Microsoft Office application.

Prerequisites

Prerequisites for this feature are a local installation of the Office application and SSL encryption (https) enabled on your server. You must have a Valid SSL Certificate signed by a Trusted Root Certification Authority.

Supported Office programs: Word, Excel, PowerPoint (from MS Office 2007)

Supported browsers: Internet Explorer, Edge and Chrome (MS Office 2010 and later)

Edit document

Click <Edit document> to check out the file and open it in your Office program. The document is blocked for editing by other users.

When you have finished making changes, click <Save> in the Office program. When you now close the Office program, the file is updated in SmartProcess and a new minor version of the document is created.

At this point, the document is available for editing by other users.

Merge changes in Word

When you upload a document from another user to SmartProcess, the following message appears during processing:

Select the upper option and then click the change bar on the left in Word.

Right-click on the changed words and select <Accept Insertion> from the context menu. After that the change bar is no longer displayed.

Aspects to note

When saving after editing documents or other office files, problems may occur if SmartProcess is not explicitly set as a safe location in Microsoft Office.

This will show a notice that changes are only saved locally for now and/or that there was an error during the upload.

To fix the error, you need to make the following adjustment in the Trust settings in Office.

Trust settings for Microsoft Office

In the office program concerned (Word, Excel or PowerPoint), open "Trust Center Settings" under File > Options > Trust Center. Select the "Trusted locations" tab.

  1. Select <Allow trusted locations on my network>.
  2. Add a new location.
  3. Now you have to enter your (company-specific) Smartprocess URL.
  4. "Subfolders of this location are also trusted" must be allowed. Confirm with <OK>.
