In the Administration tab, you assign general access rights for managing user data.

Read access to user profiles

Users can view user information and select users in forms

If this option is active, users can view the user list in the settings. User information from other users can be viewed there or in the organization chart, for example.

This right is required to be able to select users in workflow forms with corresponding fields, e.g. to define a responsible person in an action.

Own user data

Edit own user settings

If this option is enabled , the users are allowed to change the contact data in their own user profile. This is possible either via the path Settings --> Users, privileges and organizational units --> Users or via the user icon in the application header.

Changes that affect the user's access rights are not possible with this permission.

A Designer license and additional permissions are required for this (see below, e.g. "Create and edit users" and "Assign a product license to users").

Edit own mail notification settings

If this option is enabled , the users are allowed to define in their own user profile which automatic email notifications they will receive from SmartProcess and which ones will be suppressed.

Set own representatives

If this option is enabled , the users are allowed to define one or more representatives for the case processing for themselves.

User management

These permissions can be executed only by users with a Designer license.

Create users

If this option is enabled , the users may create new users in the user management

Edit users

If this option is enabled , the users may:

  • Edit the contact information of all users
  • Assign organizational units, roles and authorization profiles to all users (to manage these objects, other permissions are required)

Assign a product license to users

If this option is enabled , the users are allowed to assign and change the product license of all users.

This permission requires that "Create and edit users" is enabled too.

Create and edit authorization profiles

If this option is enabled , the users are allowed to create and delete authorization profiles and to enable or disable individual permissions in each profile.

Set representatives for other users

If this option is enabled , the users are allowed to define one or more representatives for the case processing for each other user.
